Abstract
Abstract: Organizations are encountering a lot of difficulties with the use of technology to securely manage, share, and audit documents throughout their lifecycle while keeping transparency and operational efficiency. A majority of non- digital/former Document Management Systems (DMS) do not have real-time tracking abilities, workflow routing based on advanced technology, or detailed audit logs [1], [3]. This paper presents an AI-based system called DOCROUTE-RT to monitor, share, and route documents along with integrated real-time analytics reporting. The framework will include the use of Optical Character Recognition (OCR) to digitize documents and artificial intelligence methods to automatically summarize and categorize documents within the system [4], [5], [12]. A hybrid workflow model will utilize automated intelligence as well as human judgment to enable deadlines for routing, as well as reminders for due dates [6], [10]. Secure access to documents will be accomplished by utilizing QR code based sharing and code-based document exchange, as well as through the use of version control and detailed audit
logs, enabling complete traceability of document related activities [7], [9]. Lastly, through the use of real-time dashboards, users will receive continuous monitoring of document related activities, system health, and user
interaction, enabling accountability for all document related activities [1], [11], [15]. The use of this new system will
increase the security, accountability, and efficiency of document lifecycle management in academic, corporate, and
enterprise settings.
